Do you feel as though a chunk of your day is spent dealing with meaningless tasks that don’t necessarily help you to achieve anything, but still have to be done?
According to the most recent Slack Workforce Index, the average office worker spends 41% of their day on low-value, repetitive tasks (such as sifting through and answering emails) that stand in the way of innovation and creativity – writes Aoibhinn Mc Bride, Content Writer, Jobbio.
The most obvious way to tackle this problem is by adopting technology that can help automate these tasks, such as AI tools.

However there’s an emerging disconnect between AI adoption on a practical level and a strategic one, with only 41% of large organisations currently implementing AI across all areas of the business.
This aligns with separate data that identified generative AI is only a main priority for around 35% of company board members.
That said, a lack of strategy doesn’t mean you can’t get ahead of the curve and tap into AI tools in your day-to-day to increase your productivity.
Never miss another meeting
Whether you’re unable to attend a meeting or your mind wanders off during a moot point, you’ve probably wished you could easily access a transcript of what’s been said during a meeting after the fact.
The good news is that there are several AI tools that can help you achieve this. Otter.ai records and transcribes meetings in real time, while Zoom and Teams can record meetings and provide a transcription of the recording in a few minutes after the meeting has ended.
Become a presentation pro
Decks, slides or good old fashioned presentations… Whatever you call them, if adding bullet points and graphs to a series of templates in order to present your ideas ends up eating up most of your day, it’s a good idea to investigate the different types of AI tools you can use to make presentations more efficient.
Beautiful.ai is an easy-to-use platform that allows you to create slides based on text prompts, for example, if you type in ‘top 5 startups in the UK as a pie chart’, you are instantly shown a slide with the information laid out as a pie chart with percentages beside each company name.
Reduce email anxiety
Does a new email pinging into your inbox fill you with fear or dread, particularly if it’s out of hours and you’re making a conscious effort to disengage from work in the evenings and at the weekends?
If you’re guilty of letting emails languish in your inbox, unopened or unanswered, you can always try an AI tool to automate sorting, prioritise what’s really urgent and even automate responses.
Apps such as Trimbox or Superhuman can help you achieve inbox zero, and up to four hours of your time back every week.

Sidestep Slack-splaining
If you waste a lot of time trying to compose emails or messages on Slack, you could be suffering from Slack-splaining, aka over-explaining to ensure you aren’t misunderstood.
While hybrid and remote work has its benefits, it has rendered in-person conversation virtually redundant. As a result, instant messages are now the most common way to communicate with colleagues.
However, striking the right tone—professional yet friendly—or even figuring out what emojis to use can eat up valuable time. Excessive and embellished messages, composed out of fear of being misunderstood, have reportedly cost the US economy $128 billion (€124 billion).
Instead, ask a generative AI tool such as ChatGPT or Claude for assistance in writing your emails or instant messages to speed up and streamline the process.
